10 Questions to Ask Before Hiring a Managed IT Service Provider in Columbus, Ohio

Choosing a managed IT service provider (MSP) is about more than finding someone who can fix computers when something breaks.

The PSeeSolutions Team

The right IT partner should help prevent problems, protect your business from cyber threats, support your employees, manage your technology vendors, and help you plan for what’s next.

For businesses in Columbus and Central Ohio, there are dozens of IT companies to choose from. Before signing an agreement, here are 10 questions worth asking any managed IT service provider you’re considering.

1. How quickly will you respond when we need help?

Response time can have a direct impact on productivity.

Ask potential providers what happens when an employee can’t log in, email stops working, a server goes down, or an urgent cybersecurity issue occurs.

Don’t just ask for their advertised response time.

Ask:

* Who answers the phone?

* Can employees speak directly with a technician?

* Is support handled locally or through a remote call center?

* What happens after normal business hours?

* How are emergencies handled?

A good MSP should be able to clearly explain what your employees can expect when they need assistance.

2. Is your IT support actually local to Columbus?

Remote support makes it possible to resolve many IT problems without visiting the office, but there are still situations where having a local team matters.

Network failures, server problems, internet outages, equipment installations, office moves, and other infrastructure issues may require someone onsite.

If having a local IT partner is important to your business, ask where the technicians are located and how onsite support is handled.

PSeeSolutions has served businesses throughout Columbus and Central Ohio since 2006, combining remote support with local onsite service when needed.

3. What cybersecurity protections are included?

“Managed IT” and “cybersecurity” are not necessarily the same thing.

Ask exactly which security services are included in the proposed monthly price.

Depending on your organization’s needs, these may include:

* Endpoint detection and response (EDR)

* Multi-factor authentication (MFA)

* Email security

* Identity protection

* Microsoft 365 security

* DNS or web filtering

* Firewall management

* Security awareness training

* Vulnerability management

* Backup monitoring

You should also ask what happens when a security alert occurs. Technology that generates an alert isn’t particularly useful if nobody is responsible for responding to it.

4. How are our backups protected and tested?

Having a backup and being able to recover from a backup are two different things.

Ask where your data is backed up, how frequently backups occur, how they’re protected from ransomware, and how the provider verifies that data can actually be restored.

Businesses should also understand their expected recovery time.

If a server failed today, would recovery take 30 minutes, four hours, or two days?

A managed service provider should be able to explain the recovery process before an emergency happens.

5. Do you manage Microsoft 365, SharePoint and cloud services?

Microsoft 365 has become a critical part of the IT environment for many small and midsized businesses.

Managing it involves much more than creating email accounts.

Ask whether the MSP can assist with Microsoft 365 administration, licensing, user security, MFA, SharePoint, OneDrive, Teams, email security, account compromise, data migrations, and backup.

It’s also worth asking whether the provider regularly reviews licenses. Businesses sometimes continue paying for licenses they no longer need or purchase more expensive subscriptions than necessary.

6. What happens if we decide to change IT providers?

This is one of the most overlooked questions when choosing an MSP.

Your business should maintain access to its own technology environment.

Ask who controls administrative credentials for:

* Microsoft 365

* Servers

* Firewalls

* Domains

* DNS

* Internet providers

* Backup systems

* Network equipment

* Business applications

Also ask how the provider handles an eventual transition to another IT company.

A professional MSP should cooperate with an orderly transition rather than make leaving unnecessarily difficult.

7. Do you require a long-term contract?

Managed IT agreements vary significantly.

Some providers require multi-year contracts, while others offer shorter commitments or more flexible arrangements.

Neither approach is automatically right or wrong, but you should understand the terms before signing.

Ask about contract length, automatic renewals, cancellation requirements, onboarding costs and what happens if the service doesn’t meet expectations.

The important thing is knowing exactly what you’re committing to.

8. Can you support our industry’s technology and compliance requirements?

An accounting firm doesn’t necessarily have the same technology requirements as a dental practice, law firm or manufacturer.

Ask whether the provider has experience supporting businesses similar to yours.

For example, organizations may have technology requirements involving HIPAA, FTC Safeguards Rule, cyber insurance, financial data protection or industry-specific applications.

An MSP shouldn’t simply claim that its services make a business “compliant.” Instead, it should understand the technical safeguards that may be required and help the organization implement and maintain appropriate controls.

9. What’s actually included in the monthly price?

Two managed IT proposals can look similar while including very different services.

Ask for a clear explanation of what is included and what costs extra.

Look specifically at:

* Help desk support

* Onsite service

* After-hours support

* Cybersecurity

* Microsoft 365 management

* Backup

* Server management

* Network and firewall management

* Vendor coordination

* Projects

* New computer setup

* Employee onboarding and offboarding

A lower monthly price isn’t necessarily less expensive if many routine services are billed separately.

10. Will we have a relationship with the people supporting our business?

Technology matters, but so does the service experience.

Your employees shouldn’t feel uncomfortable calling IT because they’re worried about asking the “wrong” question.

Ask whether you’ll have access to people who become familiar with your organization, employees, applications and technology environment.

For many small and midsized businesses, that’s one of the biggest differences between a local MSP and a large national support organization.

Choosing the Right Columbus Managed IT Provider

There isn’t one managed IT provider that’s right for every Columbus business.

The best fit depends on your organization’s size, industry, existing technology, cybersecurity requirements, budget and expectations for service.

Before choosing a provider, look beyond the monthly price. Ask about responsiveness, cybersecurity, backups, contracts, ownership of credentials, local support and how the company will help your organization improve over time.

Most importantly, choose a provider you’re comfortable calling when something isn’t working.
